Show Rules & Regulations

Animals:

Attendees will not be permitted to bring their pets to the show.
-All exhibitor, entertainment, seminar and demonstration animals must be registered with show management prior to admission to the exhibit hall. A waiver must be signed verifying animal is current on all vaccinations and is verified to be in good health by the animal's veterinarian. No animal will be permitted in the exhibit hall without pre-registration.
-All animals must enter and ext the exhibit hall through the loading dock. NO ANIMALS are permitted in any carpeted areas or public hallways. Animals must remain on leash or restrained in lockable crates at all times on the exhibit floor. All animals are to remain in exhibitor booths and are NOT permitted to be paraded around show floor. (Elimination stations will be provided on the loading dock.) Violation of this rule will subject the exhibitor to a $100 fine and automatic non-renewal of space for the following year.

Attendance at Booth:

Booths must be staffed at all times. In the interest of security, please ensure that someone is in your booth 15 minutes prior to show opening. All exhibits must remain set-up and manned for all hours of the show, up to 5pm on Sunday. Violation of this rule will subject the exhibitor to a $100 fine.

Booth Guidelines:

Display layouts must not encroach on exit doorways. No portion of a display shall project into any aisleway.

Booth Signs:

Signs must have a professional appearance. ABSOLUTELY NO HAND WRITTEN SIGNS. Under no circumstances may signs project where they display over another exhibitor's booth. Management will remove any sign deemed unacceptable for the expo.

Building Floors and Walls:

The entire floor of the Duke Energy Center is concrete. Use of nails, tacks, tape or screws or similar articles, which could damage the floors or walls, is prohibited. Exhibitors, who wish to lay floor covering of any type, may ONLY use GAFF tape, a low tack, low residue tape. Exhibitor is responsible to any damage to building as a result of their exhibit installation.

Cancellation:

Once accepted and processed by show management, a contract cannot be cancelled.

Credentials:

4 credentials per 10x010 booth per day is included in the booth rental. Additionall credentials are available for $10 each.

Entry to Show:

Show Management reserves the right to refuse admission to the show building, or remove from the show floor, any visitor, exhibitor or exhibitor employee who, in the opinion of Show Management does not abide by Show Rules & Regulations. All exhibits, exhibit materials and animals must enter and exit exhibit hall through the loading dock. NO ANIMALS are permitted in any carpeted areas or public hallways. Animals must remain on leash or restrained in lockable cages at all times on the exhibit floor. Once on the exhibit show floor animals must remain in their assigned booth.

Exhibits:

-Any item or structure placed upon a leased facility or area shall conform and be operated in compliance with requirements of Everything Pets and all city, state and federal laws, rules and regulations.

George Fern is the official show decorator.

-Show service forms will be available on line 60 days prior to the show. The show decorator will have a service desk at the time of installation through removal and will direct and manage all of the following services: booths and signs, labor, installation of exhibits - as contracted with exhibitor, pipe and drape, fork lifts.
-Duke Energy will have a service desk at the time of installation through dismantle and will direct and manage all of the following services: electrical, water and housekeeping.

Insurance Guidelines:

-Show Management does not accept responsibility for injury to person, loss of, or damage to products, exhibits, equipment or decorations by fire, accident, theft or any other cause while in the building or on the ground of the Duke Energy Center. Exhibitors agree to this clause as part of the exhibitor space agreement.
-Everything Pets Expo has general liability insurance covering the show. Insurance does not cover the exhibitor's exhibit, contents, visitors within the confines of the exhibitor's leased space, or exhibitor's personnel. All exhibitors are strongly encouraged to carry insurance and to provide our office with a "CERTIFICATE OF INSURANCE", naming Everything Pets, Duke Energy Center, the City of Cincinnati as additional insured. The minimum limits of liability recommended should be $1,000,000 combined single limit bodily injury and property damage liability, including personal injury liability and contractual liability. Any questions regarding insurance should be directed to your company's insurance carrier/agent.

Liability Disclaimer and Indemnification Covenants:

-Exhibitor agrees to indemnify, defend and hold harmless the Everything Pets Expo, its agents, servants and employees, from and against any and all liability for damage arising from injuries to persons or damage to property occasioned by any acts or omissions of exhibitor, its agents, officers, directors, servants or employees, successors and assigns from and against any and all claims, damages, expenses, costs (including without limitation, reasonable attorney's fees) and liabilities (collectively "Claims") arising or alleged to arise from any breach of this Agreement by Licensee. Its employees, agents, contractors, exhibitors, invitees, guests or patrons and the acts or omissions, or violation of any application law, rule, regulation or order, of or by Licensee or any of its employees, agents, contractors, exhibitors, invitees, guests or patrons. Not with standing the foregoing, the obligations of Licensee in this paragraph shall not apply to the extent the claims or Costs arise out of the gross negligence or intentional misconduct of Licensor or its employees or agents.
-Exhibitors will be liable for any and all injury which occurs within their booth or is caused by their negligence or disregard to the rules and regulations.

Obstructions:

Obstructing of visitors passageways, use of public address systems, recorders, gongs and bells or any other objectionable device or method of attracting attention shall not be permitted. Everything Pets Expo shall be sole authority as to what is objectionable and all such decisions shall be final.

Sales Receipts:

-A sales receipt must accompany all items sold at the show. This will prevent inconvenience to departing visitors by security. All exhibitors selling products must have a valid State of Ohio Vendor's Permit, which much be produced if requested by a representative from the city.
-Exhibitors are required to adhere to all State of Ohio, Hamilton County and City of Cincinnati laws regarding sales tax.

Vehicles on Display:

Protection precautions must be placed underneath vehicles to prevent stains. Gas caps must be of the locking type and the battery cables must be disconnected. Please see fire regulations at www.duke-energycenter.com for a full list of requirements.
